If you plan to travel with children, we also ask for their age.

We need and will use this information to send you an offer with an accurate price and all necessary information about the trips that we can organize for you. This information will not be shared with any third party, unless if we’re required to do so by any law.

  • When you book a trip or individual travel services with us, we will request additional information that we will use to process the booking and organize the trip for you. We’ll request this information through the client information forms on our website. We request information depending on your personalized booking, which you will see in your client information form. Necessary information might be one or more of the following, but not limited to the following: the names of all participants, dates of birth, passport numbers, passport copies, nationalities, home addresses, dietary requirements, telephone numbers or medical details.

Within the framework of bookings, your personal data will be provided to third parties involved in the handling of the relevant booking, such as but not limited to airline carriers, accommodation providers, activity providers or the third party tour operators where Mawenzi Adventures books the trip in its turn. We only share information for operational purposes.

Besides using your information for sending you all the necessary information about our tour products and organizing your trip for you, we also use your information for some additional purposes:

  • To provide customer care and to resolve any issues related to our travel products
  • To fulfil our legal obligations, for example to comply with a government order or to comply with our tax obligations
  • To defend our legitimate interests or those of our third party partners, for example to defend ourselves against legal claims or to prevent actual or suspected harm to or loss of property.
  • When you leave a review about our company on platforms such as TripAdvisor, we might share it on our website or social media, mentioning the name and trip description you’ve provided.
  • When we take pictures or videos of you during your trips, we might share them on our website or social media. When you share your own pictures with us through e.g. email or WhatsApp, we might share them on our social media but not on our website unless you give your written consent. In both cases, when sharing on our social media, we might mention your social media handles and your first name only. We might also re-share anything you post on your own social media directly from your profiles. 

  • To exercise regular business administration tasks, e.g. accounting

When you request information about or book a tour through a third party such as a travel agent or agency that uses our services to organize your trip for you, we will collect your personal information through them. We process it in the same way as described above.

 

Are you booking on behalf of other travelers?

When you’re booking on behalf of other travelers, you should make sure that you have their permission to share their personal information and that they are aware of this privacy policy as well as our terms and conditions.

The consent of a parent or legal guardian is required for minors that wish to use any of our services.

 

Medical information

During the booking process of your trip, we share your medical information with third party providers only if it’s absolutely necessary for the organization of your trip. E.g. if you book a mountain climb with us, we share the information with our third party partner that organizes these climbs for us or if e.g. you need medical equipment that requires special measures taken by your accommodations, we share the relevant information with them.

Should it become necessary during your trip, e.g. due to an accident or health related problem, we may share your medical and health related information with relevant people such as medical personnel.

You are free to choose not to share any medical information with us, although we highly recommend sharing it so that we can take the necessary steps to assure your safety during your time with us.

How do we protect your personal information?

We take reasonable measures to make sure that the personal information that you send to us is stored safely and securely and is not accessible to unauthorized parties.
